Retention Report
To learn more about how retention and churn are calculated, see Retention and Churn Rates.
The Retention Report allows you to compare clinicians’ retention of clients side-by-side and over various time frames. Notice a dotted line through the graph to represent the Practice Average.
Features and functionality:
There are two filters on this report to customize your view. Select from:
Session threshold: Adjust the default 8-session retention rate to a threshold of your preference, or just explore how retention numbers change for your clinicians at different session thresholds.
Time frame: Select the period of time you’d like to see. Note, Retention Rate requires longer time frames to present meaningful data, given it takes time to see the duration of care for recent intakes. For this reason, only longer time frames are included here.
Within the chart heading, you’ll notice there is a specific intake time frame noted, which is shorter than the overall time frame selected. PraticeVital intentionally shortens the intake window to exclude clients with recent intakes, since it’s not yet fair to assume what the duration of care will be for these people. We’ve excluded the number of weeks based on the number of sessions selected.
In the table below the chart, you’ll see the number of intakes a clinician had during the time frame, what the average number of sessions ended up being for those intakes, and therefore (based on your selected session retention threshold, i.e. 8 sessions) how many are considered retained (both as a number and percentage of total intakes).

A few things to note:
For accuracy, the intake window is shortened to exclude the number of weeks based on the number of sessions selected
Within Reports, the colors within the bar chart do not reflect performance thresholds and are solely used to differentiate between people
