Adding New Appointment Services
When your practice adds and begins using a new service code within your EHR, you'll receive an alert at the top of your PracticeVital account to "Review new appointment services to categorize."
When you click "Action Required," you'll be taken to the Settings > Service Mappings page. Review the list of your services that have not yet been mapped or categorized within our tool. Note, when these codes are left unmapped, your numbers may appear skewed or inaccurate depending on the extent to which you're using that new code within your practice. By maintaining updated service code mappings, we can ensure more accuracy in how we're counting and tracking all activity from your EHR within PracticeVital.
Refer to your Settings > Service Mappings page at any time to review the service mappings you selected in your onboarding process, or have edited with us since them. You'll see a list of all your practice's service mappings, organized into the following buckets:
Completed Sessions Bucket
Cancel Rate Bucket
Other Activities Bucket
Excluded Bucket
Each service code indicates how it is currently categorized (i.e. Session, Intake, Group Session, etc.), how it should be counted, and it's counting value.
When have a new service code, or if you would like to make changes to an existing service code's categorization or counting strategy, simply email support@practicevital.com with your specific preferences.
Here's a sample email to use when reaching out about a new service code:
Please categorize and count the following new codes for our practice as follows:
90834 Psychotherapy, 45 min: Map to Completed Sessions bucket, categorize as a Session, value 0.75
96137 Psychology Evaluation: Map to Completed Sessions bucket, categorize as a Evaluation & Testing, value 0.50
00000 Initial Inquiry Call: Map to Other Activities bucket, categorize as Consultation, value 1.0
