Active Clients
Clients are considered active in the current caseload if they've had an appointment categorized in your EHR calendar as Intake, Session, or Billable Cancel in the prior 60 days.
The Active Clients metric gives you a read on your clinician's current caseload. We base this on appointments in the calendar not the list of active clients in the EHR. We are not relying on clinicians to “deactivate” clients as they terminate (as they often forget to do). Instead we are showing the number of clients who had an appointment in the past 60 days.
Tip: Compare your client list in your EHR to # of active clients in PV. If the number of active clients in the EHR is much higher, the clinician will want to go through their list of clients in the EHR and close out charts for clients who haven’t been seen in the last 60 days.
Why are Active Clients different from Clients Seen?
Active Clients will always give you an up-to-date indicator on caseload, as it reflects the number of clients that have had an appointment in the prior 60 days. Clients Seen will adjust to reflect the specific time frame you have set to view your Key Metrics. These two metrics should be the same if you set your Key Metrics to a custom timeframe for the last two months.
